Privacy Policy
Effective Date: July 1, 2026
Fremont Catering Company ("Fremont Catering Company," "we," "us," or "our") takes the confidentiality of your information seriously. This notice describes what we gather, why we gather it, who we may pass it to, and how we look after it when you browse this site, ask for a catering estimate, submit an order, sign in to our client portal, or communicate with our team.
Submitting information to us, or continuing to use this website, signals your acceptance of the practices set out below.
1. What We Gather
Information reaches us in three ways: you give it to us, our website records it as you browse, or a vendor or partner passes it along to us.
Details You Share With Us
Depending on the request, this can include:
- Your name and the name of the company, school, church, or organization you represent
- Email address and phone number
- Event date, start time, and expected headcount
- Venue address in Fremont or the surrounding Bay Area, plus city, state, and ZIP
- Drop-off directions, loading and parking notes, gate or elevator access, and setup preferences
- The name and cell number of whoever will meet our team on site
- Dish selections, cuisine preferences, allergy warnings, dietary needs, and special instructions
- Estimate requests, order records, change requests, and any messages you send us
- Billing details and payment data entered through our processor
- Post-event notes, survey answers, ratings, and reviews
Details Collected as You Browse
Our site and its analytics tools may log:
- IP address and approximate location
- Browser and device characteristics
- Which pages you opened and how long you stayed
- The ad, search, or website that referred you
- Cookie, pixel, and comparable identifiers
Card and Bank Details
Card transactions are handled by an outside payment processor operating under its own security and privacy commitments. We do not set out to keep complete card numbers on our systems.
2. Why We Use It
We rely on the information above in order to:
- Answer questions and turn inquiries into written estimates
- Build, revise, resend, and track catering proposals
- Accept orders and keep confirmed events organized
- Reach out about menus, deadlines, missing details, and schedule changes
- Deliver drop-off catering, staffed full-service events, wedding catering, boxed meals, florals, and rental items
- Plan routes, staffing, kitchen prep, setup, and breakdown
- Take deposits, apply payments, issue invoices, and process refunds
- Send receipts, reminders, follow-ups, and feedback requests
- Refine our menus, pricing tools, website, and day-to-day operations
- Share promotions and seasonal menus where the law allows it
- Guard against fraudulent orders and enforce our terms
- Satisfy tax, accounting, insurance, and other legal duties
3. Who Sees It
We pass information to outside parties only where it is needed to run the company and serve your event. Recipients may include:
- Payment processors
- Hosting, software, and IT vendors
- Email delivery and customer-record platforms
- Drivers, staffing agencies, rental houses, florists, and venue partners
- Advertising, analytics, and measurement providers
- Bookkeepers, attorneys, insurers, and similar advisors
- Public agencies or law enforcement when a legal obligation applies
- A buyer or successor if the business is merged, sold, financed, or reorganized
We do not trade personal information for money. Some privacy statutes, however, treat certain advertising and analytics technologies as a "sale" or as "sharing." Where that reading applies, you may opt out as described below.
4. Cookies and Similar Technologies
Cookies, pixels, tags, and analytics scripts help us keep pages working, remember what you selected, understand which pages are useful, gauge advertising performance, and improve the site over time. Most browsers let you block or clear cookies; certain features on this site may stop working correctly if you do.
5. Calls, Email, and Text Messages
Once you give us your contact details we may reach you by phone, email, or SMS about your inquiry, estimate, order, timing, outstanding information, balance due, or service questions.
Marketing messages are sent only where permitted, and every marketing email carries an unsubscribe link — you can also simply ask us to stop. Opting out of promotional messages does not stop the operational messages tied to an active quote, order, payment, or event date.
6. Safeguards
We maintain reasonable administrative, technical, and physical measures intended to keep personal information protected. No transmission method or storage system is completely secure, so we cannot promise absolute protection.
Please avoid sending full card numbers, banking credentials, or other highly sensitive data through ordinary email.
7. How Long We Keep It
Records stay on file for as long as we reasonably need them to serve you, administer orders, meet accounting and legal requirements, resolve disagreements, enforce agreements, and maintain accurate business history. The retention window varies with the type of record and the obligation attached to it.
8. Your Choices
Subject to where you live, you may be entitled to:
- See what personal information we hold about you
- Have inaccurate information corrected
- Ask us to delete information, except where the law requires us to keep it
- Stop receiving marketing messages
- Opt out of any sale or sharing of personal information, where applicable
- Restrict certain uses of sensitive personal information, where applicable
- Exercise these rights without being penalized or treated differently
Send privacy requests to the contact points listed at the end of this notice. We may first need to confirm your identity.
9. Notice for California Residents
California residents have additional rights under the California Consumer Privacy Act, as amended — among them the right to know what we collect, use, disclose, sell, or share; to request deletion or correction; to opt out of the sale or sharing of personal information; to limit some uses of sensitive personal information; and to be free from retaliation for exercising those rights.
